Bulk Edit Submittal Fields

The bulk edit submittal fields allow you to modify details that are common to all the selected submittals, including what part of the project it is related to, who is completing the information, and when it is due. You can only modify certain fields using bulk edit.

Field Description
Spec Section Enter the first few characters of specification section related to the submittals and select it from the list. Otherwise, if it is a new section, enter the complete specification section up to 20 characters and click New Spec Section.
Submittal Type Select the submittal type from the list to be able to sort and filter by type later.
Add to Existing Package Enter the first few characters of an additional package related to the submittals and select it from the list. Otherwise, if it is a new package, enter the package up to 50 characters and click New Package.
Submitter Select the project contact who is responsible for completing the submittals.

To filter the list of contacts:

  • Enter the first few letters of the contact's name to filter the list.
  • Click Team Contacts to filter the list to contacts in your enterprise.
  • Click PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.

To add a Team user (someone who has a Team user account), enter the full email address associated with that user. Note this is not required if your enterprise is configured to limit contacts to Vista PM firms.

To add a new contact, click New Contact. See Add a New Contact on the Fly on a Submittal.

Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Reviewer Select the project contact who is responsible for reviewing the submittals.

To filter the list of contacts:

  • Enter the first few letters of the contact's name to filter the list.
  • Click Team Contacts to filter the list to contacts in your enterprise.
  • Click PM Firm/Spectrum Contacts to filter the list to just contacts from your ERP system.

To add a Team user (someone who has a Team user account), enter the full email address associated with that user. Note this is not required if your enterprise is configured to limit contacts to Vista PM firms.

Additional Approvers Select any additional project contacts who should also approve the submittals.

CC Select any additional contacts who should know about the submittals. These contacts can:
  • View the submittals
  • Receive notifications
  • Add comments

Due on Site By Enter the date to deliver the submittal items to the work site.
Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Due to Submitter Enter the date to deliver the submittals to the submitter in MM/DD/YYYY format.
Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Due from Submitter Enter the date the submitter should return the submittals.
Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Due to Approver Enter the date to deliver the submittals to the approver.
Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Due from Approver Enter the date the approver should return the submittals.
Note: The name of this field may be different in your instance of Viewpoint Team because it can be customized by the system administrator.
Reference Enter reference information for the submittals.
Notify Recipients Deselect the Notify Recipients check box if you do not wish to send email notifications to the reviewer and those included in the CC field.
